For registered apprenticeship sponsors

Apprenticeship tracking software that keeps you ready for the audit

ApprenticeLedger is apprenticeship tracking software for registered apprenticeship sponsors that keeps every apprentice's on-the-job hours, classroom hours, wage steps and job-site ratios in one record, across all your participating employers.

For electrical, plumbing, HVAC, sheet metal, roofing and carpentry programs. Nothing to pay until you pass 3 apprentices.

The compliance review

What the compliance review asks for, and where it lives today

A DOL or state apprenticeship agency review wants the same five things for every apprentice. Most sponsors rebuild them from five different places the week before.

On-the-job hours per work process
Usually: Timecards, payroll exports and a spreadsheet per apprentice
Here: Logged against each line of your standards and approved by the supervisor
Classroom (related instruction) hours
Usually: Transcripts emailed from the college
Here: Recorded per course, with a running total against the term
Wage progression
Usually: Payroll, if someone remembered the step
Here: A wage change appears when approved hours pass a step, waiting for payroll to confirm
Journeyworker-to-apprentice ratio
Usually: Memory, or a site list on the whiteboard
Here: Headcounts per job site, checked against the rule you entered for that state
Supervisor sign-offs
Usually: Paper sheets in a binder
Here: Each approval and competency sign-off stamped with who and when

Who logs in

One program, four kinds of login

Participating employers stop emailing you sheets, because their own people approve their own apprentices' hours. Everyone sees only their part.

  • Program coordinator

Enters the standards, enrolls apprentices, sees who is behind on hours, confirms wage changes with payroll, and downloads the audit files.

  • Employer adminCrew and Association plans

At each participating contractor: sees only that employer's apprentices, approves their hours and records job-site headcounts. No more emailed timesheets.

  • Journeyworker supervisor

Approves the hours of the apprentices assigned to them, adds hours an apprentice forgot, and signs off competencies in the field.

  • Apprentice

Logs each day's hours against a work process from a phone, or imports them from a time app, and sees their progress and next wage step.

Features

An apprentice hour log built around your standards

Time-based, competency-based or hybrid
Hours against each work process for time-based programs, supervisor sign-offs for competencies, or both. Progress bars show what's left on each line of the standards.
Hours approved where the work happened
Apprentices log, supervisors approve or reject, and nothing counts toward the term until it's approved. An approved entry is locked against the apprentice changing it.
Wage steps that payroll can't miss
Set each step's hour threshold and percentage of the journeyworker wage. When approved hours cross a step, the new wage lands on the coordinator's dashboard until payroll confirms it.
A ratio self-check per job site
Record journeyworkers and apprentices on each site and see any site over the rule you entered for that state and trade. It catches problems early; it isn't proof of compliance.
Bring the roster you already have
Paste the apprentice roster from a spreadsheet, and let apprentices import hours from a time app or payroll CSV instead of typing them twice.
Classroom hours without grades
Record course name, school, hours and completion date from transcripts. ApprenticeLedger stores no grades or student records.

Getting started

Set up in an afternoon

  1. Enter your standards

Occupation, program type, term hours, work processes or competencies, wage steps, and the ratio rule for each state you work in.

  2. Add employers and apprentices

Paste your roster, then invite supervisors, apprentices and (on Crew and up) each employer's admin.

  3. Hand over the file

When the reviewer calls, download the progress summary and hour detail, or print any apprentice's full record.

FAQ

Questions sponsors ask

How do I log apprenticeship hours for a registered apprenticeship?
Enter the work processes and hours from your standards, then have each apprentice log their on-the-job hours against them, daily or weekly. Their supervisor approves the entries, and ApprenticeLedger totals approved hours per work process, per apprentice, against the term. Tracking apprenticeship hours this way means the totals are already done when a reviewer asks.
Is this an apprentice hour log the apprentices fill in themselves?
Yes. Each apprentice gets a login that only shows their own record. They log hours from a phone or import a CSV from their time app, and see what's approved, what's pending and how far they are from the next wage step. It replaces the paper apprenticeship hours log book.
Does it work for an electrical apprentice hour log split by work process?
That's the main case. An electrical program with 8,000 hours split across conduit, service and panel work, low voltage and so on gets a progress bar per line, and the audit summary shows each one.
Is ApprenticeLedger full apprenticeship management software?
It covers the record-keeping side of apprenticeship management: standards, enrollment, on-the-job and classroom hours, competency sign-offs, wage steps, job-site ratios and audit exports, for every participating employer. It doesn't recruit apprentices, run payroll or schedule classes.
Can it upload to RAPIDS?
Not directly. The roster export lays out names, occupations, start dates, employers with their RAPIDS IDs and hours for keying into RAPIDS or your state's system. RAPIDS remains the official registration record.
We sponsor apprentices across several contractors. Who sees what?
On the Crew and Association plans each participating employer gets an admin login that sees only its own apprentices and job sites. Supervisors see only the apprentices assigned to them. You see everything.
Will our state apprenticeship agency accept these records?
Agencies ask for the records themselves (hours by work process, classroom hours, wage progression and supervision), not for a particular tool. The exports are plain spreadsheets with every entry, who approved it and when, so a reviewer can read them like the paper sheets they replace.
